About the Role:
Gambia Participates is looking for highly motivated individual to fill in the vacancy of an Executive Intern. The Executive Assistant will be the personal assistant to the Executive Director as well as serving as the Receptionist for the Gambia Participates office and as well assisting in programs functions.
The internship offers a valuable platform for emerging professionals, particularly post-secondary students and recent graduates, to gain hands-on work experience in a dynamic and forward-thinking work environment. This fosters the development of real-life skills at an accelerated pace.
Duties and responsibilities
Receptionist Duties:
• Answering and directing incoming phone calls
• Greeting and assisting visitors
• Maintaining a professional and organized reception area
• Scheduling appointments and meetings
• Handling mail and deliveries
• Basic administrative tasks such as filing, copying and data entry
Personal Assistant Duties:
• Managing and maintaining the schedule of the Executive Director or Manager they are assisting
• Organizing and coordinating meetings and events
• Making travel arrangements
• Managing expenses and preparing expense reports
• Handling confidential information and maintaining discretion
• Conducting research and compiling reports
• Assisting with special projects as needed
• Acting as a liaison between the executive or manager and other departments or external contacts
Programmatic Duties
• Assist in logistical arrangements of workshops and community engagements
• Support the mobilization of participants and facilitators
• Contribute to the coordination and reporting of activities
Qualification and Experience
- Post-secondary students or recent graduates with a focus on business management, political science, or related fields
- Experience with office software and technology, such as Microsoft 365 (emphasis on MS Word, Excel, Email and collaborative applications)
- Strong communication and interpersonal skills
- Commitment to handling confidential information and maintaining discretion
- Capabilities in working with a high level of attention to detail
- Proficiency in working with calendar, scheduling, and travel arrangements.
- Good Problem problem-solving skills
